SUNYLA 2016 Conference Planning Report, September 2015

•   The dates for the conference have officially been confirmed as June 8-10, 2016

•   Ben Andrus (Local Arrangements chair) and I are working with Julie Guditis, Campus Confrence & Events Coordinator, on conference arrangements.
o   We have reserved 7 classrooms and 2 assembly rooms in the University Union. This space can be used for registration, sessions, posters, and vendors.
o   Dormitory space has also been reserved; we will be housed in either the Dickinson or Newing community, both of which are newly built. Prices are $30 for a double and $37 for a single, with linens available for $12 or $13. There are also abundant hotels very close to the university that we can work with to reserve rooms.
o   We’ll be meeting with Julie again in October to work on more details.

•   We would like to hold the Membership Social (Wednesday evening) in the Union Underground, a large space that features a bowling alley, table tennis, and billiards, and I will be in touch with the Membership Committee about this.

•   Since there are many restaurants in Binghamton, I suggest dine-arounds on Wednesday night (and Thursday?), and we can come up with a list for those who want to go out on their own. Travel to downtown is easy via bus or car.

•   I received around 130 nametag holders from Carol Anne Germain at Albany that are left over from the 2014 conference. They are black canvas and sponsored by WT Cox. Their fate is yet to be determined.

•   There are a lot of local volunteers for conference planning, and I will put out a call for volunteers on the SUNYLA listserv next week, and a reminder a couple weeks after. Then I would like to start holding regular planning meetings beginning later in October. I’ve been told we have a license for WebEx so can use that to host virtual meetings.
