SUNYLA Council Meeting Report for 1/23/15-2015 Conference Planning

• Conference Description was completed in December:
Anyone who is engaged in librarianship, or who works and collaborates with librarians, knows that it's not just a profession -- it's an art. Successful librarianship combines professional knowledge, skills, and experience with creativity, curiosity, passion, imagination, and vision. Each library, and each librarian, blends these elements in unique and different ways. Join us for the 2015 SUNYLA Conference at Purchase College in Purchase, NY, from June 3-5, when we will come together to express our creativity, present our ideas and projects, share methods and experiences, stimulate our imagination and curiosity and, most importantly, to celebrate the art that is librarianship.
• Vendors: All the details of the letter to vendors were finalized this month (January) and Susanne Markgren put an online submission form together for us. She also linked the PayPal option to the form so that vendors can pay that way if they choose. Carrie Fishner is getting out the emails this week. The list is long so it does take time. As of Thursday afternoon (1/22/15) we have one exhibitor: NY 3Rs Association.
We have also decided to put the vendors in the library in an area on the first floor where they will get a lot of conference foot traffic throughout the duration of the event.
• Call for Proposals: The committee members who are helping with the pre-conference workshops and conference presentations met virtually on 1/15/15 to flesh out the details of the online form https://docs.google.com/forms/d/1c3_7KXc7gVU-wPfYPVKI5usolVUhZHPjzs-C0bVLLXY/viewform for the call, I drafted an email (see text below) and circulated it to this smaller group for approval. The call was circulated to various listservs and professional library organizations on 1/20/15. As of Thursday afternoon (1/22/15) we have four conference presentation proposals submitted.
• Website: https://sunyla2015.wordpress.com/ It is live, please check it out, we have a few posts up and the planning committee listed so far.
• Conference Hashtag: #SUNYLA2015
• Local Arrangements: Not many changes or updates to report here. We have been having trouble developing a contact with Doral Arrowwood to reserve hotel rooms for the conference and arrange for Thursday’s dinner, but we have a few names. If we don’t hear anything by next Wednesday (1/28/15) I will contact the general reservation number.
The rooms for workshops and pre-conference sessions have been reserved for the duration of the conference, including the room that we will be using for the Council meeting.
• Schedule: We will be framing out the overall conference schedule in the next few weeks in anticipation of accepting the proposals and working them into the schedule.
• Funds: We have yet to incur any expenses or received any payments from any vendors. Greg has sent me the $5000 check to open the conference bank account, which I will be doing on 1/26/15 at People’s United Bank.
• Documents: We have established a Google Drive folder that all planning committee members have access to. Carrie Fishner has also included a vendor file in the main conference folder with forms and letters from 2014 and 2015, as well as a list of all the vendors we contact. This will be a nice archive for years to come.

Successful librarianship combines professional knowledge, skills, and experience with creativity, curiosity, passion, imagination, and vision. Each library, and each librarian, blends these elements in unique and different ways. Join us for the 2015 SUNYLA Conference at Purchase College in Purchase, NY, from June 3-5, when we will come together to express our creativity, present our ideas and projects, share methods and experiences, stimulate our imagination and curiosity and, most importantly, to celebrate the art that is librarianship.
We welcome your creative and enlightening interpretations of “The Art of Librarianship” for pre-conference workshops and conference presentations for the following program tracks:
• Reference and Instruction
• Cataloging and Technical Services
• Archives and Special Collections
• Systems and Technology
• Collection Development
• Public Services and Interlibrary Loan
• Professional Development
• Management and Leadership
If you are not sure which track your presentation would fit into, submit your proposal anyway and we will determine which track would best suit your idea.
Please submit proposals here: Call for Proposals. If you are submitting proposals for multiple workshops or presentations, please fill out a separate form for each.
