Apologies, I cannot attend this meeting – Logan will fill in the blanks.
Membership is dropping mainly because of the membership database issues. Logan and Bill had tweaked several issues, but the real stinking point was the PayPal function. Logan looked into using several tools and found that the RegFox component of Webconnex (the tool used for conference registration) has the ability to process our memberships. Logan has done some great work on this resource and demonstrated it to Chris Hulsman, Laura Harris and me. It looks like a good presentable choice for SUNYLA’s needs. We can migrate the data from the current SUNYLA database to Regfox, which will be very beneficial.
This will cost SUNYLA $.99 for each dues payment (so .99₵/year per joining/renewing member – great reason to become a lifetime member!!)
Motion: To utilize the Regfox application as the SUNYLA membership tool; it offers a robust and user-friendly platform for managing memberships. The fee associated with each join and renewal will cover the costs of using the application and support the ongoing maintenance of the membership database.
There were some issues with the no cost student memberships. The application requires a fee with a $10 limit for deduction. This would mean that we need to lower the student rate ($20) to $10 with the $10 deduction bringing it to zero. At this point, NY State LIS students can join for 2 years with no dues. Only out of state students pay the $20. We have none, so there is little impact.
On a similar note, one of our memberships has a non-LIS (though potential) student who would like to join SUNYLA. Do we want to extend our New York State LIS students to include SUNY library workers or interns? We would need to be thoughtful about the professional development grants.
The Student Subcommittee is in the process of scheduling two virtual workshops - no report.
Respectfully,
Carol Anne
