The committee work for the most part has been focused on the annual conference membership social.  The social will be very much like the one we had at FIT, which everyone seemed to enjoy.  Plan for music, drinks, appetizers and plenty of conversation.

I've continued to housekeeping on the membership directory.   I have been working with members who have had questions about their memberships.

Here is a breakdown of our membership at this moment:

current memberships:                            131
new members for 2014:                            5
total number of delegates                        45
delegates with current memberships       24

I just want to remind/reinforce that in order to get the membership rates for the annual conference, folks need to have a current membership (2014).  I am happy to field any questions about memberships.  I've been working closely with Greg on this.

Here's what going on with the conference:

We are finishing up the registration form.  We are planning to open before the end of the month
We have our speakers and presentation scheduled for the most part.
Poster sessions, vendors and a couple Friday presentations are still in the works

It's been challenging doing the 3 conferences and I would like to thank everyone for the patience, understanding and help.  It's starting to all  coming together and I'm hoping that it is going to be a memorable (in a good way) conference.

November 20, 2013 Council Meeting @SUNY FIT / 2014 conference news
« on: November 19, 2013, 08:13:33 PM »
The conference committee has been working to prepare for this year's event.  Locking down speakers, coordinating with folks from the other 2 conference.  Carol Anne and I are happy to talk details and answer any questions at the meeting.

*****We need to address the discounts on our web page.  We would like to put up our web page,  send out a call for session proposals and poster sessions in the near future, etc.  but need to get that taken care of first.  I set out an email a couple weeks back but no responses.*****

As of this moment, we have 114 current members.  23 of those current members with current memberships are delegates (out of 46 total delegates.

I have been working in membership database to keep it neat & tidy.  I will be pestering Greg about pending memberships once he is back from sabbatical (this week I think!)  I'll send out another reminder to those with expired memberships once Greg and I catch up.

We should probably talk about finalizing the layout/wording of the brochure (correct me if I'm wrong Rosanne)

The plans for the 2014 conference in Albany are underway.   Here's how things are shaping up so far:

Since the preconferences are going to fall in the middle of the conference this year, expect to see something like "professional development" programs on Wednesday. In an effort to ensure there is something for everyone, the conference programs will be organized around tracks or themes:
   Archives & Special Collections
   Cataloging & Technical Services
   Collection Development & Reader Advisory
   Instruction & Information Literacy
   Public Services & Interlibrary Loan
   Reference
   Systems & Information Technology

A call for proposals and poster sessions will go out next month.

We listened to your feedback and we will be having dinner together aboard the Dutch Apple on Thursday evening.  The link for the cruise is http://www.dutchapplecruises.com/main/index.php.

Friday will be a little different this year.  The conference will extend into the afternoon.  The focus will be on authors and writing.  We are working on lining up some authors to present and do book signings.

Things are moving along really well.  The biggest challenge (not obstacle) is coordinating between 3 different organizations to make sure everyone gets what they want & need.  We are very excited to have this opportunity to host the conference for SUNYLA.

Any committees or groups that want time and locations set aside for meetings should contact me as soon as possible.

3)   The committee has sent out a message to the membership on the listserv, reminding SUNLYA members that memberships expired in June and to renew their memberships.  We saw a 45% increase in membership renewals since then.

We have gotten very good feedback about the the membership social at the conference at FIT this past June.  The vendor who sponsors the social was VERY happy and said that the social was exactly what they had hoped for.  I've heard that the vendor said this on several occasions during the course of the conference.  That was good to hear.

There have been a few questions about memberships expirations but I still need to confirm that the information from the conference is up to date in the directory before I am confident about the membership numbers.  I have begun cleaning up one of the tables but still need to confer with Greg and Logan about some of the entries.
