June 17, 2020 Council Meeting @ VIRTUAL (Annual) / 1st VP Report

This is a pretty short report, with apologies.

Started working with Carol Anne on the delegates database/membership campaign (following up on the 2020 Delegates Health Check), that project will transition to the incoming 1st VP.

All new members were emailed earlier this month and were encouraged to both register for conference and to attend the new members/first time attendees meeting. I had a few new members follow up with me.

Thank you to everyone who took the time to respond to the Delegates survey that was sent out. A majority of campuses responded, and I am in the process of following up with those that did not. The delegate list will be updated to reflect changes that came through the survey.

I received two comments on the survey. The first one came to me through email, as well as the survey, so I wanted to post the information here. The second asked for information that is useful across the board, so I thought I would share it here.

1- How do I access the Delegate Area of the website.

Delegates should contact me (or the current 1st VP) for access.

2- Do we have any marketing tools for recruiting into the Association?

There is a Delegates Toolkit area on the website: http://sunyla.org/delegate-toolkit/. Under 'Membership Information' there is a brochure that could be used to assist in recruiting. The links/information under the general SUNYLA section, such as the social media accounts, newsletter, and grant information might also be useful in this regard.

Hello All!

I attended the SLC Meeting with Bill Jones 10/15 and 10/16. In group discussions about the future of SLC, it was brought up that folks were interested in seeing more communication and collaboration between SUNYLA and the SLC, and there seemed to be an interest in trying a Directors programming track at a future SUNYLA conference. With the knowledge that Director attendance at SUNYLA is low, there was the thought that this could increase Director participation, especially if there is an overlap at all between the SUNYLA conference and SLC meeting. Both thoughts, communication/collaboration and Director involvement in the Annual Conference, were something I wanted to note and bring up for discussion if the group was interested.

The 2019 Delegates Health Check has been sent out. I will share the results at the January meeting.

Bill and I met today to take a look at the SUNYLA Toolkits that he had started working on with Carol Anne previously. We will be working on these going forward.

Bill also passed me the tools used for the Delegate Health Checklist (the delegate survey that went out last year). I will be adjusting it for this year and sending it out shortly.

March 23, 2018 Council Meeting @ FLCC / Second VP/Conference

The Conference session program has been finalized, and is up on the website. https://sunyla2018.wordpress.com/

Call for poster sessions closes 3/23, next week the poster committee will begin selection and notifications.

Vendor registrations/payments are due in by the end of this month and are chugging along. Confirmed vendors so far- Salem Press, Springer, ACS, Berg, Chronicle, Hein Online, WNRLC, Gale, Midwest, Credo, SPIE, LYRASIS, Springshare, Oxford University Press, NYLA- ASLS, EBSCO, ProQuest, ExLibris.

Work on the physical program will be starting shortly.

Dinner Thursday will be at the New York Wine and Culinary Center, for a three course meal with wine pairings. Contract will be finalized next week. Catering for breakfast/lunches, the social, and the poster session is being finalized.

Registration should be up and running soon.

Some quick notes on conference planning-

Website is up and running, information being added as we go. Call for proposals, housing information, committee information, logo are up currently. Conference logo was designed by a FLCC student. https://sunyla2018.wordpress.com/

Call for proposals went out early January, a second call will go out shortly. Proposals started to come in last week, and are continuing to trickle in this week.

Call for proposals is posted on the conference website in the blog/updates as well as a placeholder on the Program page.

Local Committee- working steadily on food, local activities. All rooms have been booked for conference activities.

Keynote will be decided and announced shortly.

Vendor letters are finalized and heading out as soon as we finish setting up vendor payments.

November 3, 2017 Council Meeting @ Albany / 2nd VP/Conference

Thanks to everyone who responded to the call for volunteers. We have a planning committee together and will hold our first meeting shortly. If you want to be involved and missed the call for volunteers, send an email my way.

Local accommodations committee has been busy. We have blocks of rooms reserved at two local hotels- Inn on the Lake and Holiday Inn Express. Two other local motels have been made aware of the conference and while they do not reserve blocks/have block rates, they will be sending their rates and room information along. Dorms on campus will also be available. Rooms/spaces on campus have been reserved.

Theme- Broadly, “Openness”. We will be narrowing down on a proper worded theme in the next couple weeks, and are happy to hear ideas or suggestions!
