SUNYLA Annual Conference 2019
Onondaga Community College has graciously agreed to host next year's conference.
The 51st annual conference is scheduled for June 12 through June 14, 2019.  April Broughton, Carrie Fishner, Rebecca Hyams, Lisa Hoff, and I had campus visit/virtual meeting to coordinate conference details. Mohawk Valley Community College has expressed interest in sponsoring the 2020 conference.

SLC
Charles O’Bryan is the new Executive Director of SLC. He will be participating in our meetings as the SLC representative (formally Patrick C.). The next SLC meeting is November 7-8. I spoke with him about collaborations with a focus on leadership initiatives.

Membership Development Committee Report – September 2018
Here are the latest membership stats:
Current members: 249
Delegates: 59

Logan made the updates to the database that allow us to notify members about upcoming dues. I have been sending these out for one month ahead. This has been working out very well.

Bill and I need to work out the Delegate Packet. We have compiled a list of items but need to fine-tune the logistics.

Logan and I have been working on the Lifetime Membership details:
*An option on the membership form
*A blurb for the webpage
*Add a PayPal option for this - PayPal form will need several options - Age dependent
* Update member expiry date to 12/31/9999 to indicate lifetime membership
This should be done by October

The New SUNYLA Conference Attendees Reception is set for Wednesday, June 13 from 5:30pm- 6:00pm in Library 3515 (it is the library classroom on the third floor of the library). This year we have 51 individuals - from the RSVPs it looks like we will have a good showing.
 
Elections - it was a great change over to the electronic voting; for more details see Amanda's email from June 1. The Bylaws change passed. The new officers are Lisa Hoff (Onondaga) as our new 2nd VP/Conference Chair and Bill Jones as our new 1st VP/President Elect. Amanda Lowe was reelected Secretary.  Congratulations to our new officers! For the future - we need to be encouraging our membership to take on these professional roles - these are perfect opportunities for gaining leadership skills and experience.
 
The 2019 Annual Conference location is still undecided. We are waiting here back from several locations regarding interest.  Any interest??

It's that time again - the Nomination Committee is seeking nominations for 1st Vice President/President-Elect, 2nd Vice President/Conference Chair, and Secretary.  Any member current with their dues is eligible to run for a position. I just sent out a call for nominations to SUNYLA-L.  It's not too late to apply yourself!  Please let me know if you are interested in running for any of these positions or please encourage your colleagues who are looking to expand their leadership endeavors.

Elections are typically in April - I know work is underway for electronic voting option. Fingers crossed!

The position terms are:

1st Vice President/President-Elect:
The 1st VP serves a 3-year term.  The first year of the term they serve as 1st VP and are responsible for coordinating delegates, chairing the Nomination Committee, and helping the President as needed.  The second year of the term they assume the position of President and see to the running of SUNYLA and serve as the liaison to the SUNY Council of Library Directors.  The final year of the term they serve as Past-President and advise the President as needed.

2nd Vice President (Conference Chair):
The 2nd VP serves a 1-year term and is responsible for organizing the next SUNYLA conference (2019) including overseeing the various committees.  The 2nd VP will serve as a liaison between the conference library and SUNYLA.

Secretary:
The Secretary serves for two years, after election to office in even-numbered years.  The Secretary is responsible for recording SUNYLA Council meeting minutes, attendance, and votes, as well as distributing agendas, supporting materials, and ballots.

Just a reminder, the membership cycle changed to one year from date of payment.  Because we did not have a member ship payment option with this year’s conference registration, there is a lapse in members. Over the next month I will be sending reminders. I am also going to ask Logan to add a “Your membership due date is coming up” statement so I can send it out ahead rather than “we miss you.”

As everyone knows the membership cycle changed to one year from date of payment.  Thanks to Logan Rath who made the database changes to reflect this change. For members who renewed and had paid to the end of the 2017 conference, the expiration date is 6/16/2018. 

Wendy West and members of the Local Arrangements Conference Committee organized a wonderful Wednesday evening social - Melville Library Central Reading Room. Once again, Ebsco is the generous sponsor.  Many thanks to Ebsco and the organizers.

Membership Development Committee Report – March 2017

Paid for up until 2017 conference: 163
Paid from 3/8/2016 to 3/8/2017: 234
Delegates: 56

We have talked often about changing the SUNYLA dues structure from the conference-to-conference model, to a date of pay plus 12 months. In the past, this was problematic in keeping track of the membership. Since we have a membership database that logs these data points, it is easy to maintain. This change may eliminate confusion and generate goodwill.

A possible change to the wording in the By Laws

Currently:
17.2 The Dues Year shall begin on the day after the completion of the annual conference and extend through the last day of the conference in the following year.

Change to:
17.2 The Membership year is for a period of twelve months, beginning the date Membership dues are received by the Association.

As you can see in the membership numbers, there is a large decline in membership after this year’s annual conference (this is not an anomaly).  In reviewing all of the membership numbers, there are many “nonmembers” once conference passes, even though they paid a month or so ahead of it. Thus these individuals only receive a one month membership. I know this is an old argument, but I recommend that we change the membership to one year from date of payment.  The database is robust enough for this change.  It would also represent a stronger and healthier organization; since most of the meeting votes would be from “members.“

Membership Development Committee Report - June 2016

As of Monday, June 6, 2016, the valid SUNYLA membership count is 262. We expect the count to be an additional 20 members, once we rectify the memberships acquired through the last conference registrations. The increase in numbers is due in part to the conference registration requirement for a membership number.  In addition, Logan and I have been working to fine tune the membership database infrastructure to retrieve a more accurate account of membership numbers. We will continue to enhance the database (e.g., adding a member benefits note to the renewal/new member payment message).

The Membership Committee meeting is June 8, 4-5 in University Union Room 103, all are welcome.

The New member/attendee orientation, is at 5:00 (thanks to Bill Jones) University Union 111

Membership Social in Union Underground - 5:30 - 7:30 (thanks to Laura Evans, Conference Committee, and EBSCO)
